QUESTION:
What are the conditions to be able to generate a statement of account for a client or a matter?
Why is the statement of account not generated for this client or that matter?
RESPONSE:
To be able to generate a statement of account for a client or matter there must be a receivable position that meets one of the SOA’s paragraph criteria based on the date of the oldest invoice, with the SOA not yet sent and the option to send the statement of account triggered in affected client and matter properties.
The following are common reasons why the statement of account may not be triggered:
There is no AR Position: Start by generating the Aged AR report for the client or matter affected. If you are looking to generate the SOA for the client – common practice – execute the aged AR report showing all matters and invoices for the client selected in the details tab, else also populate the matter you expect has a receivable balance. Use an aging period that matches the paragraphs periods criteria set for the SOA.
The SOA was already sent: If there is a receivable position expected to trigger the SOA, then reapply the filter of the show statement of account form with the checkbox option “Include sent reminders” check marked as the results will show if the statement of account that meets the criterion was already sent.
Client Matter Properties – Sent Statement of Account Checkbox Option is not check marked: If the statement of account is was not already sent, it is possible that the send statement of account check box option found in the receivables sub-tab at the bottom of the billing and receivables tab the affected client or matter properties form is not check marked – a requirement to be able to generate the SOA.
