How to Reverse a Posted Time Entry and Remove it from WIP

The reversal option should be used when a time entry was entered in error or duplicated in the WIP. It is not intended for situations where time entries cannot be billed or need to be removed in order to close the file . In such cases, the entry should be written off directly, as this action will impact both financial and management reports—affecting the matter, timekeeper, and any associated client or matter role holders.

The reversal will restore the hours worked to their correct value as at the transaction date – a process that also reduces the WIP to what is should have been without triggering an inefficiency loss (impact of a write-down to 0.00 during the invoice preparation process), or a bad debt expense (impact of a WIP Write-off).

The use of this option needs security #117. With this security you will be able to find the entry and on right-click select “Reverse Time Entry” – available from the right-click contextual menu of the invoice properties - entries-tab - WIP section or the WIP dashboard (inquiry) or Show Time Entries list view results.

This function will create the negative equivalent therefore if the entry is in a closed period to reverse it you will also need security #751 or #771.

Note that this option also allows you to create the same entry as an unposted time entry in the timesheet using the current date. This can be particularly useful when reversing all entries associated with a canceled invoice and needing to recreate them for a new invoice dated prior to the cancellation date.

Once the reversal process is completed, both entries can be write off to be removed from the WIP. This won’t have an impact on the timekeeper worked hours since they will off-set each other.

Select the time entry – right-hand click – Reverse Time Entry:

Select No to create the negative entry to off-set the time entry posted in error:

In this example, you see the positive and negative entry:

Proceed to Write-off both time entries

Click on Yes

Select the date

A confirmation message will launch.

The 2 entries are now written-off.
