QUESTION: When I go into the AR dashboard, I can see a balance here. But when a colleague goes in, he sees zero. Is this a permissions issue?
RESPONSE: Yes, it may depend on permission. This area has multiple layers of permissions that can apply at the same time. See below some definitions:
Permissions in Security Group:
(255) AR Inquiry restricted: Allow users to have limited inquiry access with Accounts Receivable. Users will be restricted to view his Receivable or the Receivable of the Member he is working for. Users must select at least a client, a matter, an invoice or team member. The team member should be himself or the person he works for.
(256) AR Inquiry Third Party Access: Allow the user to view his Receivables and also other Member Receivables.
(257) AR Inquiry Full Access: Full access to Receivable Inquiry. Allow the user to view all Receivables of the firm.
If the member is set as an Assistant in within other member properties i.e., triggering the "works with relationship" functionality, then no matter the set security level, the totals in the AR Inquiry form will not be visible. With each level granted, the assistant can see more records but never the totals.
Also the client and/or matter view permission (#427 and #480) provide additional restrictions. For example, users with no AR inquiry permission but with the client view permission will see the AR of each client. For users having only the matter view permission, they will only see AR at the matter level if they enter the matter.
