GL Accounts and Multiple Firms

QUESTION:  We have added another firm within Acumin.  A GL account has been made available to both firms.  I have posted an invoice and coded it to a GL account.  When I run a query on the GL, I don’t see it posted.  Do we need to create new GL accounts for the new office?

 

RESPONSE: 

You do not need to create new GL accounts if they have already been created; you simply need to ensure that they are made available to the new firm.

If the new firm needs specific accounts that will not be used by the another firm, then you can create new GL accounts and make them available only for the new  firm.

With respect to the GL transaction not being visible, it is important to note that transactions applied to the Matter:

a.    Regardless of chargeability; if the Time and/or Disbursement entry is chargeable, it is charged to unbilled time (UBT) - depending on how you environment is set up - or unbilled disbursements (UBD) respectively, or if it is non-chargeable it is charged to the GL account assigned to the expense field in entry properties – GL operations for entries must always follow the firm of the matter.

b.    GL operations generated as a result of the execution of trust transactions and invoicing for the matter are also required to follow the firm of the matter.

Note that In the case of transactions applied directly to a GL account (in absence of a matter), the user has to be logged in the correct firm or select the correct firm in the object.
