Changing entry chargeability and transferring them out to reflect their non chargeable status within the non-chargeable time matter

QUESTION: We had a period after conversion where the non-chargeable matters were not flagged as non-chargeable so time posted to those matters during that time period are posted as chargeable.  However, it looks like I cannot change the status since it is greyed out.  Please advise, since the partnership allocation is based on chargeable hours and amounts.


RESPONSE: Our records show that it was converted as a time chargeable matter, because the history included billed entries. We want to confirm that the matter remains chargeable - the matter properties have the time set to be chargeable - otherwise other problems will arise. During go-live the firm reported that they were able to change the chargeability of the matter, something that should not be permitted and will be locked down, but in the meantime, we had asked that it remain chargeable, and a new matter be created non chargeable for this activity which was to receive transferred records once the chargeability was corrected. 

If the time for the matter is chargeable and the record is not billed (remains unbilled), then a user with security "Time Chargeability Override <<113>>" can change the chargeability by selecting the right click contextual menu option "change chargeability" on selected records from within WIP inquiry's filtered results. 

Here is a summary of steps:

Change the matter number for this matter so it is available for the new matter if this has not yet been created. Create the new matter with the old matter number that everyone knows with time set as non-chargeable. Return to the original matter and from WIP inquiry change the chargeability of the entries to non-chargeable and then transfer all of the entries for the current fiscal year to the new matter. Write of the rest and close the current matter making sure the time is set to non-chargeable.
