Missing Time Entries

QUESTION: We’ve have a question from one of our Partners regarding time entries that she entered but didn’t post yesterday. When she restarted the computer these entries disappeared and she had to enter them again. Please, could you let us know the reason why it has happened?

Also, please, could you advise us on best practices we can follow to prevent such things from happening?

RESPONSE: Time entries never disappear. Once the time is on the timesheet, it is never lost. It could be that she entered them in error on a future date and the timesheet on re-entry auto filters to the current date, or they were accidentally deleted. As she may have duplicated the entries without realizing, as a first step we would recommend that you use the option "My Activity" - button at the bottom of the timesheet form and use information for one entries that appear to have been lost to filter for it. This filter provides where the entry could be. I would start by looking for future dated entries - from Monday of this week for example to 1899, then I would try other date options and check mark the deleted checkbox at the bottom of the form. Alternatively you can filter for the entries using creation date (Option on the month tab filter) .

For best practice, you want the tightest auto-save options. This means that the user defaults for your timekeepers should have the checkbox option "Auto Validate new rows" found on the "time entry settings" sub-tab of the "favourites tab", check marked.

The unposted time is auto-saved each time a new row is added, then again when the user leaves the timesheet to close Acumin or to go somewhere else. For this reason, even if there is crash or an unexpected technical interference, it is unlikely that this would have caused all entries to be lost. Perhaps the one the user was working on, but all others would be there. As these entries are unposted, they are not visible on a matter by matter basis, so we strongly recommend that you or someone else use the filter options recommended to eliminate all options as it is possible that the user mis-dated the entries, deleted them or even accidentally had a different working member. If they were entered, they are there.
