QUESTION: Hi, I understand that while we are using two different time increments that the lawyers can enter time regardless of the time increment selected at the client level and at billing, dockets are rounded to the correct time increment.
However, we have a few frustrated lawyers note that if the minimum time can round to the correct increment on docketing, why Acumin cannot do that for dockets over the minimum time requirement. Is there a way to show the time to be charged in the correct increments regardless in the time entry? For example, John shows the time recorded is 6 min but the time to be charged at 0.25. Jane shows with time to be charged at 7.6 hrs but this is client with 0.25 time increments. Could you please advise and come up with some solutions?
RESPONSE: The time entry properties form shows that the user spent 6 minutes 0.10 of an hour, however it will be posted as 0.25 because of minimum time entry requirements.
The minimum time to be recorded is a firm decision. This value is set in System Settings – Defaults – Entries. If this is set to 0.25 then no matter how much time is spent between 0 and 15 minutes the time entry will be posted at its minimum of 0.25 unless there is an exception in client properties.
Exceptions to minimum time can be set in client properties in which case all matters for the client will be affected by a minimum time-entry requirement that is different than the default one in system settings. Where the client's minimum time requirement is less or more than the one in system setting (for example 0.05 versus 0.10 or 0.25 versus 0.10); the client’s minimum time requirement will prevail within the posted time entry.
Client minimum time entry requirements do not need to match client billing increments. For example, if the system minimum time is set to 0.10 and the client has a minimum time requirement exception of 0.05, as well as a billing increment of 0.25, then all time entries for the matters for this client posted with time between 0.05 and 0.25 will be billed as 0.25 creating an internal billing efficiency. If the client would have had a minimum time requirement of 0,25 then all the time entries for time spent for less than 15 minutes would have been posted at 0.25 of an hours and billed ay 0.25 – no billing efficiency.
In conclusion for users to post time with a minimum time requirement of 0.10 which is then billed in 0.25 increments, the system settings minimum time should be 0.10 and the client minimum time (if currently used) eliminated except for those clients where there is minimum time requirement other than 0.10. This will not compromise the billing increment requirement 0.25.
