Cancellation - Regular Invoice with Paid Interim Invoice Applied

Impact on the Allocation of Fees and Receipts

Background

  1. The posting function of an interim triggers the allocation of fees which typically involves the "firm" member as the recipient of the benefit.

  2. The posting function of a payment triggers the receipt allocation to the members that received the "fee allocation" – typically the "firm" member as the recipient of the benefit.

  3. The posting of a regular invoice with fees reduced by the application of interim invoice(s) triggers:

    1. A re-allocation of fees;

      1. Reduce the benefit to the original recipient of the fee allocation benefit - typically the "firm" member;

      2. Increase the benefit of the recipients of the fee allocation benefit of the net fee value of the regular invoice.

    2. A re-allocation of receipts if the applied interim invoice is partially or fully paid at the time the regular invoice is posted. This process involves:

      1. Creating a 0.00 payment for the regular invoice;

      2. Using this 0.00 deposit as the vehicle for transferring the benefit from the original recipient of the fee allocation benefit - typically the "firm" member to the recipients of the fee allocation benefit of the net fee value of the regular invoice.

As a result the 0.00 deposit applied to the regular invoice used to re-allocate the receipt benefit to the appropriate recipients precludes the cancellation of the regular invoice.

Cancellation of a Regular Invoice with an Applied Interim Invoice

  1. Although an interim invoice cannot be cancelled a regular invoice can be cancelled as long as there is no associated object such as a payment, credit note, AR write-off and/or a paid (partial or full) interim invoice applied;

  2. If the regular invoice has a paid (partial or full) interim invoice applied, then the automatically created 0.00 deposit used to re-allocate the receipt applied to the interim invoice must be cancelled first;

  3. To identify the 0.00 deposit that needs to be cancelled, the authorized user can launch the "Show Cash/WO Allocation" properties form accessed from the "Cash/WO Allocation icon found within the "Accounting" section of the task bar;

  4. Enter the regular invoice number and identify the 0.00 deposit number on the list of payments applied.

  5. Once identified proceed with the normal deposit cancellation process which is handled from within the "Show Deposit Cheques" form accessed from the "Show Deposits" option found within the "Show Deposit Slips" list-view.
