Word merged invoices in final form - Additional invoice control to be able to post

The yellow triangle to the left of the POST button indicates that the invoice preparer generated the invoice document using the word merge option instead of PDF.

An invoice is normally generated using PDF to minimize the risk of discrepancy between the invoice document and the posted invoice properties content stored in your database. For this reason, the use of word merge is exceptional, as it increases the risk of an unintended discrepancy. The yellow triangle alerts the person responsible for firm policy and quality assurance compliance on posting, that the invoice has greater risk due to the document being open to modification outside of the system, therefore requiring additional quality assurance and the execution of added internal controls.

Once the person responsible for firm policy compliance and quality assurance is satisfied that there are no discrepancies between the the word invoice document in final form and the invoice properties form, the user must enter the total invoice value on the word document into the invoice control field found on the details tab as a cross check to the invoice properties value.

If the value entered matches the one for invoice total on the "Totals, Discounts & Trust" tab, the post function will execute successfully. If the invoice cannot be posted, it is because the value entered does not match the one in the database shown on the invoice "Totals, Discounts & Trust" tab of the invoice properties, at which point either the invoice is regenerated to reflect the invoice properties values, or the invoice properties content needs to be updated to match the word invoice document. 

In conclusion, this added step is only necessary when the invoice is produced in word instead of PDF as an added confirmation that additional internal controls have been met and that the total invoice value on the word document is the same as the one in the "Totals, Discounts & Trust" tab of invoice properties.
