QUESTION: Can we merge two clients which are the same one, which client number is used? Can we merge multiple contacts that are the same person into one? Can we merge multiple persons where one or more is a client into one?
RESPONSE: The person merge and client merge tools available from within the right-click contextual menu in Person Search, serve to consolidate person records that were created multiple times in error, in context of the type of person records affected - basic person, vendor and/or client.
The person merge tool consolidates multiple person records into one with the one selected as the “destination” having the most relevant information. The records to be consolidated can include multiple basic persons but only one vendor and/or one client. If all three types of persons are included, then there is a hierarchy for the person to be set as the “destination”. If the records include a client and a vendor, the destination must be the client. In this case the vendor information is retained but the person portion is updated with the person portion of the client. Similarly, if the person records to be merged include a vendor and multiple basic persons, the vendor must be the “destination”.
The client merge tool consolidates two client records into one with the one selected as the “destination” having the most relevant information. The client merge in firms using client-matter number logic – where the matter number is unique within the client – will have duplicate matter numbers as part of the result. This outcome conflicts with the unique matter number per client requirement, therefore the matters of the client being merged will be renumbered starting with the next number available for the destination client.
