Global name and person profile (individual to business) changes across the same person (clients) which exists multiple times in the dataset

QUESTION: Is there a way to make global changes in Acumin? For example, there are 175 hits for “Rwdsu”. RWDSU should be capitalized in every instance. Also, RWDS should always be a business client but in every instance is an individual. Can things like this be globally changed?

RESPONSE: There is no global option to update the client or person name or profile (individual or business) as we are only expecting to have the same client or person once in the dataset. 75 duplicates presents a problem in conflict assessment processes as there no relationships being built with other objects in the database as well as core functionality like the statement of accounts so the invoices can be grouped in context of the payor.

The application includes a person merge tools which can merge persons that are the same or persons that are the same into a client. There is also a client merge tool that allows you to merge clients, and one to merge addresses.  When merging clients, there is an impact on the client code as only one will be retained, and depending on matter number structure - firms with client-matter logic would also have the matters have a new code if there are duplicates within the new client structure. The merge of the address is also critical so when combined with a person (which could be a client or not) the combination which is considered a unique contact  within the client structure is actually unique to the users when making selections.

Many firms develop a project when dealing with this level of duplication which can be fully manual or in some cases we can assist programmatically in developing rules and custom programs to convert the data. Please let us know if you need this level of assistance and we will escalate the ticket to project development.
